About us
The Aboriginal Art Centre Hub of Western Australia (AACHWA) advocates on behalf of its member art centres located in regional and remote Western Australia. AACHWA delivers professional development programs for managers, boards, and artists; provides recruitment advice and services; and acts as an advocate to, and central point of contact for, Regional, State and Federal funding bodies.
About the role
Reporting to the CEO, the Executive Assistant is a key position in the organisation. AACHWA are looking for someone with exceptional communication skills and attention to detail to provide high level executive and administrative support to the CEO and the Board, as well as the handling of membership applications and governance matters.
Given the dynamic nature of the executive landscape, we rely on the Executive Assistant to be flexible, organised and consistent while maintaining the confidentiality of high-level systems and operations. The Executive Assistant will also assist with office management duties as required.
Key functions of the role will include:
Operational/Administration:
- Coordinating board meeting logistics, travel and accommodation bookings, creating board packs, minute taking, governance duties, AGM preparation.
- Coordinating membership applications and approvals processing, ensuring record keeping and reporting compliance is met.

- Professional and personal scheduling for CEO, Board and sub-committees, including agendas, mail, email, phone calls, client management, and other company logistics.
- Keep the CEO and Board advised of time – sensitive and priority issues, ensuring appropriate follow-up.
- Coordinate complex scheduling and calendar management.
- Compose and prepare letters for the CEO.
- Schedule departmental meetings, assist in the preparation and distribution of meeting agenda and materials.
- Ensure effective filing and reference for all completed documentation according to organisational systems and procedures.
- Contributes to AACHWA publications, such as the Annual Report, as required.
- Speech writing, sector research, compiling briefing papers for the CEO
- Maintain professionalism and strict confidentiality with all materials.
Finance:
- Reconciling receipts, submitting invoice for payment
Who are we looking for?
Essential Criteria:
- Australian Citizen / Permanent Resident
- Four or more years of experience in an administrative role reporting directly to upper management
- Excellent written and verbal communication skills
- Experience organising meetings and writing minutes
- Strong time-management skills and an ability to organise and coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Ability to maintain confidentiality of information related to the company and its employees
- Positive and friendly attitude.
- Demonstrated ability to maintain confidentiality and appropriately deal with sensitive information.
- Flexible and adaptable approach to work demands.
- Ability to work autonomously and as part of a small team.
- Satisfactory National Police Clearance
Desirable Criteria:
- An understanding of the Aboriginal and Torres Strait Islander art centre business model.
- Experience working for a Non-Profit Organisation and an understanding of the compliance reporting requirements to Federal, State government funders and other bodies (i.e. ORIC/ACNC).
- Aboriginality will be highly regarded but is not essential for the role.
