About us
The Aboriginal Art Centre Hub of Western Australia (AACHWA) advocates on behalf of its member art centres located in regional and remote Western Australia. AACHWA delivers professional development programs for managers, boards, and artists; provides recruitment advice and services; and acts as an advocate to, and central point of contact for, Regional, State and Federal funding bodies.
About the role
Reporting to the Operations Manager, the Administration Officer is a key position in the organisation. This role will ensure the smooth running of the AACHWA office and provide key operations and administrative support to our staff, as well as the CEO and Board. This role is the first point of contact for internal and external stakeholders, managing all queries. The position requires someone who has exceptional communication skills, is competent in prioritising tasks and working with little supervision.
Key functions of the role will include:
Administration:
- Reception and front desk duties, including handling public enquiries
- Providing logistical and administrative support as required, including the coordination of meetings and events
- Responsible for incoming and outgoing mail and deliveries
- Administering office and petty cash purchases, including reconciliations and invoice processing
- Writing minutes or meeting notes as required, including for online member catchups
Operations:
- Assisting the Operations Manager to implement systems and procedures that support AACHWA to be efficient and effective
- Providing user training and helping staff and the Board with using AACHWA systems and processes
- Contributing to the implementation and maintenance of key AACHWA digital systems, including effective filing and maintenance of registers
- Assisting with office maintenance and amenities to ensure AACHWA is a reliable organisation and reliable place to work
- Contributing to planning and administration of internal meetings and celebrations
- Administering relationships and billing with office suppliers, including core software platforms
- Supporting recruitment and onboarding processes, such as filing, administration, and training
Communications:
- Contributing to AACHWA communications platforms as required, assisting AACHWA be a strong voice for Aboriginal art and culture
- Assisting in the delivery of external and member communications, including within email marketing platforms and social media
- Compiling sector news for internal and external distribution to assist AACHWA be an informed organisation that understands the strengths and needs of its members
- Helping to maintain contact and media distribution lists, including use of spreadsheets and CRM
Who are we looking for?
Essential Criteria:
- Australian Citizen / Permanent Resident
- Experience in administration/ reception/ office support
- Excellent written and verbal communication skills
- Strong time-management and organisational skills with the ability to prioritise competing requests.
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Ability to maintain confidentiality of information related to the company and its employees
- Ability to work autonomously
- Sound problem solving and decision-making skills
- Satisfactory National Police Clearance
Desirable Criteria:
- An understanding of the Aboriginal and Torres Strait Islander art centre business model
- Experience working for a Non-Profit Organisation
- Aboriginality will be highly regarded but is not essential for the role
