Job Description

The Art Centre Coordinator is responsible for supporting the effective operations, systems, policies and procedures at Warlayirti Art Centre, under the supervision of the Assistant Manager. They will support artists, Centre activities, and the promotion and sales of art and other products managed or sold via the Centre.


The Art Centre Coordinator will need to have strong administration, communication and coordination skills. Respect and understanding of cross-cultural environments are essential.


The art centre coordinator is responsible for the maintenance of the Art Centre studio space, training, mentoring supervision and assisting artists. Prepare materials for artists, support artists produce through to sales including quality control, cataloguing artwork stories and artist bios.


Working closely with the Assistant Manager, as requested, participate in all sales and marketing initiatives
including participating at exhibitions and cultural activities.


As requested, work with the Assistant Manager in the development and administration of Art Centre policy and operational guidelines.

Key Responsibilities and Duties of the Position

Promote the smooth running of the studio space.

Assist in coordinating Exhibitions, visitor appointments and scheduling

Support artists and art workers in all their endeavours to create art works.

Provide administrative assistance to the Arts Centre Manager as requested, including:

  • As occurs through ‘studio’ & ‘admin’ emails, data entry, receipts and reimbursements.
  • Provide support and assistance as required to artists and Management
  • Maintain and organise the studio space.
  • Assist with organising consignments and participating at exhibitions
  • Coordinate and participate in artists and cultural events, On Country
  • Update, administer and maintain the social media campaigns and website, promotional materials and rebrand.
  • Maintain the Warlayirti digital marketing presence in conjunction with the Assistant Manager.
  • Support Artists, management and the broader community.
  • Coordinate the Information Management activities ie, creating/maintaining artists’ bios and cataloguing activities
  • Perform other duties as reasonably requested by Management.

Client Services

  • Meet and greet all visitors and guests with a positive and welcoming attitude
  • Answer incoming calls and enquiries via email, phone and social media in a prompt, efficient and friendly manner
  • Ensure studio areas are clean, tidy and presented to the highest possible standard
  • Arrange and pack courier collections and monitor mail/goods outwards register

Timely and cost-effective coordination of supplies and equipment.

  • Assist in undertaking frequent Stocktakes and maintain centre supplies for all areas

Assist in ensuring the WAAC housing assets are in a state of readiness (clean & everything working) to accommodate mixed tenancies (rented and/or complimentary), ensuring linen, mattresses, and pillows are available.

Working as part of a team across all areas of the business

Active involvement and contribution in identifying and reporting any maintenance or safety issues or hazards

Comply with all standard operating procedures

Comply with all Workplace Health & Safety (WHS) policies and procedures

Communicate openly with Management, providing regular updates on workload and progress

Develop and maintain positive work relationships within the team

Contribute to the efficient and effective operation of the Warlayirti team, including maintaining punctuality and performing other duties as requested by management

Accountabilities/ Key Performance Indicators

  1. Perform allocated tasks in a timely and efficient manner.
  2. Respond to and attend to all online enquiries and onsite visitors in a courteous and timely manner.
  3. Assist in coordinating exhibitions, events, travel, and visits on time and on budget.
  4. Check and report on social media updates and stock levels of company promotion packs for guests, which are prepared and set out for all upcoming enquiries/exhibitions.
  5. 100% of daily administrative tasks are completed
  6. Weekly check Company social media, including Website, and approved platforms used, to ensure that all sites are consistent and have updated material (no more than 7 days old).
  7. Create social media tiles and upload when approved
  8. Update centre displays at least once per fortnight with current news, information and approved themes
  9. Keep all computer equipment up to date with the latest Company security application
  10. Maintain all centre stock levels within the minimum/maximum agreed limits

  • Strong computer skills, intermediate Microsoft Office skills (Word, Excel and PowerPoint)
  • Excellent time management
  • Reliable completion of tasks without reminders

Preferable but not Essential

  • Social media creation skills using Canva

Qualifications and Education Requirements

  • Minimum Year 12 – Certificate III in Business Administration/Marketing/Art Management
